People & Business Partners

The Persons master data links platform users to their identity within qportal. Each person record holds name, email, and optionally a user ID that connects them to the identity provider (needed for the personal My Actions worklist).

When assigning team members to an audit or a responsible person to a finding or action item, you select from the Persons list.

ISO 19011 requires organizations to keep evidence that their auditors have the competence to do the job — education, training, certificates, and relevant experience. Each Person record has a Qualifications section where the Master Data Admin records this evidence.

For each qualification you can capture:

  • Type — Education, Training, Certificate, Experience, or Audit Experience
  • Title — what the qualification is (e.g. “Lead Auditor ISO 9001”)
  • Issuing Body — who awarded or confirmed it (e.g. a certification body or training provider)
  • Valid Until — the expiry date, where applicable
  • A supporting document (certificate, training record, etc.) can be attached directly to the qualification entry

This gives you an auditable record of each auditor’s competence, ready to show during a certification audit of qportal itself or of your own management system.

A Business Partner represents an external organization involved in an audit — most commonly the audited party in a supplier or customer audit. Each business partner has a name, a code, and a Business Partner Type (see below).

When creating an audit for a supplier or customer, select the relevant Business Partner as the Audited Business Partner — see Audits.

Categories for business partners involved in audits — e.g. Supplier, Customer, External Auditor. Used to classify a Business Partner when it is created.
